After an organizational separation, an international education association needed an independent website, membership system, and learning platform built quickly without disrupting members. A new WordPress and WooCommerce platform unified subscriptions, institutional memberships, and educational content, introducing self-service administration, streamlined onboarding, and clear operational reporting — creating a stable foundation for continued growth.
Situation
Following an organizational separation, an international education association needed to establish its own online presence and membership functionality. This included securing a new domain, launching a website, and recreating core operational systems such as memberships, subscriptions, and educational content delivery that previously existed within another organization’s infrastructure. Because members included both institutions and individual educators, the platform needed to support complex relationships between organizations, administrators, and learners. The transition also needed to happen within a short timeframe while minimizing disruption for existing members.
Work
I rebuilt the platform using WordPress with WooCommerce Subscriptions and WooCommerce Memberships, allowing a clean start while keeping familiar workflows to remain in place. Because the off-the-shelf functionality didn’t meet the client’s needs, a series of custom modules were developed to model how the organization actually operates. Institutional memberships were designed to allow schools to manage their own staff access through self-service onboarding, including controlled seat allocation tied to subscriptions. Subscription management was extended to support delegated administration, allowing multiple stakeholders within an organization to oversee billing and membership access. Bulk provisioning tools were introduced to allow organizations to onboard groups of adult learners efficiently, while certificate management workflows were integrated directly into checkout and subscription management to support fulfillment processes unique to the association. The platform also includes a member-restricted webinar library built around custom post types and structured contributor data, enabling searchable educational resources tied to membership access. Custom reporting dashboards provide administrators with visibility into subscription health and membership activity, reducing reliance on manual data collection. Additional platform refinements improved administrative performance, simplified editorial roles for non-technical staff, and introduced flexible donation products alongside standard membership offerings.
Outcome
Within a few months, the organization launched a fully independent platform capable of managing memberships, subscriptions, educational resources, and operational reporting within a single system. The result is not simply a website, but a purpose-built membership platform aligned with how the organization functions day to day. Administrative overhead was reduced, member management became largely self-service, and the platform provides a stable foundation for continued growth.
